Supply-room par and reorder routine
A visible routine for checking the supply room against local par levels, separating routine replenishment from exceptions, and avoiding last-minute scavenging across routes.
Primary role
Supply-room owner, lead custodian, or supervisor
Cadence
Weekly review and before known high-use periods
Format
Read-only reference · 3 min read
Purpose and scope
Keep route supplies available through a documented replenish-and-reorder rhythm.
Custodial consumables, tools, liners, approved products, and assigned PPE. Product selection and storage follow district policy, labels, SDS, and local requirements.
Supplies and readiness
- Assigned keys or access method
- Approved products and tools for the assigned zone
- Clean, zone-appropriate cloths or pads
- Waste liners and a route log or district-approved digital record
- Assigned PPE and temporary safety signage when conditions call for it
Procedure
Step group 1
Count against local par
- 1Use the current local par list and storage locations; do not estimate from a single open case.
- 2Check high-use consumables, route-critical tools, and items with long lead time first.
- 3Separate usable stock, damaged stock, expired or restricted stock under local policy, and items awaiting disposition.
Step group 2
Replenish the routes
- 1Stage approved quantities for carts or closets without blocking access or creating unstable storage.
- 2Rotate stock according to local practice and keep labels or original containers intact as required by policy.
- 3Record shortages that force a route change or substitute work method.
Step group 3
Create the reorder handoff
- 1List item, current count, par level, requested quantity, location, and date needed when known.
- 2Route the request through the district-approved purchasing or inventory process.
- 3Check unresolved requests at the next review and communicate any operational impact early.
Quality checks
- The space is usable for its next expected activity.
- Tools, supplies, and signage are removed or stored appropriately.
- Open issues are visible to the person responsible for follow-up.
Supervisor check
- •Observe the sequence in the field before changing the route or expectation.
- •Review one completed record for enough detail to support a handoff.
Document this
- •Item, unit, current quantity, local par level, reorder status, and route impact.
- •Damaged, inaccessible, or storage-constrained stock that needs a facilities decision.
Escalate when
- •A condition presents an immediate safety concern or the area cannot be used as intended.
- •The work requires maintenance, a trained response, or direction outside the assigned task.
Coaching notes
- •Teach the route in the actual space, then have the employee narrate the reason for each decision.
- •Use specific observations and one next action rather than a general reminder to be more careful.
