Supervisor weekly inspection routine
A practical observation routine that checks the operating system—route clarity, condition, equipment readiness, and follow-through—rather than turning one walkthrough into a scorecard.
Primary role
Custodial lead, supervisor, or facilities manager
Cadence
Weekly, rotating through routes and spaces
Format
Read-only reference · 3 min read
Purpose and scope
See how documented expectations are working in real spaces and choose the next coaching or corrective action.
A rotating sample of public areas, restrooms, classrooms, supply points, equipment, and handoff records. It is not an audit, benchmark, or staffing study.
Supplies and readiness
- Assigned keys or access method
- Approved products and tools for the assigned zone
- Clean, zone-appropriate cloths or pads
- Waste liners and a route log or district-approved digital record
- Assigned PPE and temporary safety signage when conditions call for it
Procedure
Step group 1
Select a useful sample
- 1Choose different buildings, shifts, and route types over time instead of inspecting the same visible spaces.
- 2Review current open issues and prior commitments before entering the field.
- 3Bring the relevant job card or SOP so the conversation is tied to the written operating reference.
Step group 2
Observe condition and system
- 1Look at the space, the route tools, and the handoff record together.
- 2Ask the employee to explain the route sequence, exception path, and where an open issue is recorded.
- 3Separate a process gap, training gap, supply/equipment barrier, access barrier, and one-time condition before choosing an action.
Step group 3
Close with a named action
- 1Name what was working and one specific adjustment that would improve reliability.
- 2Assign an owner and check-back date for any corrective action.
- 3Record the observation in a way that protects the next supervisor from repeating the discovery.
Quality checks
- The space is usable for its next expected activity.
- Tools, supplies, and signage are removed or stored appropriately.
- Open issues are visible to the person responsible for follow-up.
Supervisor check
- •Observe the sequence in the field before changing the route or expectation.
- •Review one completed record for enough detail to support a handoff.
Document this
- •Area sampled, current condition, process observed, barrier identified, action owner, and check-back date.
- •Repeated trends across locations without treating a single observation as a system-wide conclusion.
Escalate when
- •A condition presents an immediate safety concern or the area cannot be used as intended.
- •The work requires maintenance, a trained response, or direction outside the assigned task.
Coaching notes
- •Teach the route in the actual space, then have the employee narrate the reason for each decision.
- •Use specific observations and one next action rather than a general reminder to be more careful.
