Primary role

Cadence

After practices, assemblies, community use, and scheduled events

Format

Read-only reference · 3 min read

Purpose and scope

Restore a gymnasium or event space without assuming the next setup, moving protected equipment, or losing a repair issue after a busy event.

Assigned floor perimeter, bleacher or seating area as locally assigned, entry paths, restrooms or adjacent common areas, waste points, and event setup handoff.

Supplies and readiness

  • Assigned keys or access method
  • Approved products and tools for the assigned zone
  • Clean, zone-appropriate cloths or pads
  • Waste liners and a route log or district-approved digital record
  • Assigned PPE and temporary safety signage when conditions call for it

Procedure

Step group 1

Confirm the next use

  1. 1Review the next scheduled activity and any approved setup notes before moving furniture or equipment.
  2. 2Identify event-owned, school-owned, and custodial equipment so each is returned through the right handoff.
  3. 3Check for injury-related, damage-related, or security-related concerns that should be reported rather than handled as routine cleanup.

Step group 2

Reset the space

  1. 1Remove waste and debris from assigned areas, working from the farthest seating or floor zone toward the exit.
  2. 2Address assigned touchpoints, common areas, and floor conditions using tools appropriate to the surface and event timing.
  3. 3Restore approved seating, entrances, and custodial staging areas for the documented next use.

Step group 3

Release the space

  1. 1Walk the main circulation path and confirm it is clear for the next group.
  2. 2Record damage, lost-property handoff, equipment issues, or a next-use setup that could not be completed.
  3. 3Notify the event contact or supervisor when the space is not ready for its scheduled handoff.

Quality checks

  • The space is usable for its next expected activity.
  • Tools, supplies, and signage are removed or stored appropriately.
  • Open issues are visible to the person responsible for follow-up.

Supervisor check

  • •Observe the sequence in the field before changing the route or expectation.
  • •Review one completed record for enough detail to support a handoff.

Document this

  • •Date, time window, area or route, and the staff member completing the work.
  • •Conditions that were not resolved within the assigned task.

Escalate when

  • •A condition presents an immediate safety concern or the area cannot be used as intended.
  • •The work requires maintenance, a trained response, or direction outside the assigned task.

Coaching notes

  • •Teach the route in the actual space, then have the employee narrate the reason for each decision.
  • •Use specific observations and one next action rather than a general reminder to be more careful.
