Primary role
Any custodian completing a shift or zone handoff
Cadence
At the end of every assigned shift
Format
Read-only reference · 3 min read
Purpose and scope
Prevent unfinished work and equipment or supply issues from disappearing between shifts.
Assigned areas, route record, supply cart, equipment used, keys or access items, and communications to the next shift or supervisor.
Supplies and readiness
- Assigned keys or access method
- Approved products and tools for the assigned zone
- Clean, zone-appropriate cloths or pads
- Waste liners and a route log or district-approved digital record
- Assigned PPE and temporary safety signage when conditions call for it
Procedure
Step group 1
Finish the assigned area
- 1Compare the route record with the work completed; identify locations deferred because of access, occupancy, or an active event.
- 2Complete a final safety and appearance pass through the assigned priority areas.
- 3Return furniture, room access, and local setup to the expected condition where this is part of the assignment.
Step group 2
Restore tools and supplies
- 1Empty, clean, recharge, or stage equipment according to district procedure and manufacturer guidance.
- 2Return supplies to their assigned storage location and note items below the local par level.
- 3Remove waste, used materials, and temporary signage from the cart or staging area.
Step group 3
Make the handoff usable
- 1Record what was completed, what remains, why it remains, and the next expected action.
- 2Notify the appropriate person about conditions that cannot wait for the next routine review.
- 3Confirm keys, radios, access devices, and incident notes are handled through the local handoff process.
Quality checks
- A relief person can identify open work without finding the prior employee.
- No custodial equipment is left in a travel path or charging/maintenance condition without being identified.
- Supply gaps and access limitations have a written handoff.
Supervisor check
- •Observe the sequence in the field before changing the route or expectation.
- •Review one completed record for enough detail to support a handoff.
Document this
- •Date, time window, area or route, and the staff member completing the work.
- •Conditions that were not resolved within the assigned task.
Escalate when
- •A condition presents an immediate safety concern or the area cannot be used as intended.
- •The work requires maintenance, a trained response, or direction outside the assigned task.
Coaching notes
- •Teach the route in the actual space, then have the employee narrate the reason for each decision.
- •Use specific observations and one next action rather than a general reminder to be more careful.
