Classroom / office turnover job card

A closeout route for returning learning and support spaces to an orderly next-day condition while protecting teacher setups, access needs, and reported repairs.

Primary role

Evening custodian or assigned closeout route custodian

Cadence

After scheduled use or at daily close

Format

Read-only reference · 3 min read

Purpose and scope

Make the room ready for its next scheduled use without moving instructional materials, changing a local setup, or hiding a condition that requires follow-up.

Entry, shared tables, desks as locally assigned, sinks, touchpoints, waste stations, floors, and final room exit. It does not authorize rearranging instructional materials or personal property.

Supplies and readiness

  • Assigned keys or access method
  • Approved products and tools for the assigned zone
  • Clean, zone-appropriate cloths or pads
  • Waste liners and a route log or district-approved digital record
  • Assigned PPE and temporary safety signage when conditions call for it

Procedure

Step group 1

Read the room before touching it

  1. 1Confirm the room is vacant and identify scheduled event setup, notes, restricted areas, or work already in progress.
  2. 2Scan for damage, unsecured access points, spills, pests, or property that should be preserved and reported rather than moved.
  3. 3Use the room’s assigned service level and route notes; do not infer a special request from a cluttered workspace.

Step group 2

Complete the turnover

  1. 1Remove waste and visible debris from assigned collection points.
  2. 2Address shared touchpoints and assigned surfaces using the facility-approved process; keep materials appropriate to the zone.
  3. 3Service sinks or shared-use areas as assigned, then complete the floor pass from the far end of the room toward the exit.
  4. 4Return movable custodial equipment and room furniture to the documented setup when it was moved for access.

Step group 3

Close with a usable handoff

  1. 1Complete a doorway check: clear path, orderly room, controlled lights and access according to site practice.
  2. 2Leave a concise note for work orders, access issues, supply needs, or a room that could not be fully serviced.
  3. 3Do not leave a verbal-only handoff for an issue that affects the next user.

Quality checks

  • The space is usable for its next expected activity.
  • Tools, supplies, and signage are removed or stored appropriately.
  • Open issues are visible to the person responsible for follow-up.

Supervisor check

  • •Observe the sequence in the field before changing the route or expectation.
  • •Review one completed record for enough detail to support a handoff.

Document this

  • •Room identifier, access limitation, special setup observed, and any space not fully serviced.
  • •Furniture damage, sink or HVAC concerns, pest indicators, and work-order reference if one exists.

Escalate when

  • •The room cannot be secured, an unknown spill or exposure concern is present, or property appears damaged or disturbed.
  • •A teacher or event setup would need to be moved to complete work, and no local direction authorizes that change.

Coaching notes

  • •Teach the route in the actual space, then have the employee narrate the reason for each decision.
  • •Use specific observations and one next action rather than a general reminder to be more careful.
